Administrative Affairs

The Office of Administrative Affairs is dedicated to serving the professional needs of the faculty, staff and administration of the University of Florida College of Medicine – Jacksonville. Our mission is to facilitate and support, through administrative functions, the education, research and patient care mission of the UF College of Medicine – Jacksonville, while being consistent with all applicable rules and contractual constraints.

We accomplish this by facilitating processes related to academic and professional matters such as, but not limited to:

Faculty Affairs

The Office of Administrative Affairs provides support to faculty, chairs, directors and deans on policies, procedures and developmental programs for faculty. We are committed to supporting faculty from appointment through retirement by facilitating all matters related to faculty and academic affairs, including but not limited to recruitment, appointments, promotion and tenure process, salary increases, maintenance of faculty records, mentoring, evaluations, disciplinary and personnel issues, review of faculty grievances, effort reporting and certification, UF College of Medicine – Jacksonville Leadership Development Program, Conflict of Interest (COI) Program and policies and procedures relevant to faculty at UF College of Medicine – Jacksonville. The Office of Administrative Affairs supports the Faculty Council by conducting faculty elections, new faculty orientation and serving as representatives of the Dean’s Office.

Human Resources

The Office of Administrative Affairs has oversight of the UF College of Medicine – Jacksonville human resources and other functions related to ongoing organizational needs. We oversee HR management for UF College of Medicine – Jacksonville employees, including, but not limited to the administration of the annual performance evaluations; special pay increases; appointment letters; recruitment; leave administration, time management (review and approval of payable time); Department Security Administrator (DSA) authority; UF College of Medicine – Jacksonville and University policies and practices; liaison with UF in employee relations issues; and liaison with UF/UF Health Jacksonville/UFJPI in facilitating development programs for TEAMS employees.

Immigration Services

The Office of Administrative Affairs, in collaboration with the University’s Immigration and Compliance Services office and the law firm of Fragomen, Del Rey, Bernsen & Loewy, LLP, initiates the visa process on behalf of UF College of Medicine – Jacksonville employees for non-immigrant and immigrant employment based cases. All applications and petitions associated with UF sponsored nonimmigrant statuses must be submitted by our office.

Fringe Benefit Programs

As a liaison between benefit providers and faculty, the Office of Administrative Affairs supports College of Medicine – Jacksonville clinical faculty and housestaff in understanding and managing their benefits, including Group Health, Life Disability and Accidental Death and Dismemberment programs and retirement plans. We are also responsible for facilitating employee benefits through the UF and state of Florida, during leaves of absence, providing benefits advice upon termination and serving as liaison to the University’s central HR office for benefits and retirement.
